How to Set Up Your File for the Best Print Results

Before submitting your artwork, it’s essential to understand the fundamentals of file preparation. This guide covers everything you need to know about choosing the right file format, understanding image types, and optimizing your files for professional printing.

Critical Guidelines

Please review these critical requirements before submitting your artwork. Non-compliance may result in processing delays and additional fees.

    Embed All Links & Convert Text to Outlines
    Please be sure to embed ALL links and convert ALL text to outlines in your submitted artwork to ensure proper printing.

    Unsupported File Formats
    We DO NOT accept files built in InDesign, Quark Xpress, Corel Draw, MS Office, or similar applications. These must be converted to PDF first.

    Size to Templates
    Artwork MUST be sized to fit our provided templates. Do not submit oversized or undersized files.

    Remove Non-Print Elements
    DO NOT include anything you do not wish to print in your print-ready files. This includes crop marks, registration lines, guides, or slugs—these WILL appear when printed.

    Avoid Transparencies
    AVOID using transparencies as the effects may not translate properly when your file is processed. Flatten all layers before exporting to PDF.

Know When to Use Vector vs. Raster Images

Understanding the difference between vector and raster images is crucial for preparing artwork that prints beautifully. Each type has specific strengths and limitations.

When to Use a Vector File

Vector files are scalable and stay sharp at any size.

Best for:
Logos

Text
Icons and graphics

Common formats: AI, EPS, PDF
Programs: Illustrator
Tip: Use vector for anything that needs to stay crisp when resized.

When to Use a Raster File

Raster images are made of pixels and have a fixed size. Enlarging them can reduce quality.

Best for:
Photographs

Detailed images
Designs that don’t need resizing

Common formats: JPG, PNG, TIFF, PSD
Programs: Photoshop
Tip: Use high resolution to avoid blurry or pixelated prints.

What is Image Resolution?

Image resolution refers to the number of pixels in an image, measured as pixels per inch (PPI). The higher the resolution, the more detail and clarity your image will have. Lower resolution images may appear blurry or pixelated when printed.

Image Resolution Tips

Image resolution directly affects print quality and is measured in PPI (pixels per inch) or DPI (dots per inch).

High resolution: 300 PPI/DPI or higher
Full-size artwork: Minimum 150 PPI
Half-size artwork: 300 PPI

Tip: Always use high-resolution images to ensure sharp, professional print results.

How to Determine Required Image Size

Multiply the resolution required by the area to be printed.

Example:

We require a minimum of 150 PPI and you want to print an image in an area that is 8 inches wide by 10 inches high.
Multiply: 300 pixels × 8 inches = 2400 pixels wide
Multiply: 300 pixels × 10 inches = 3000 pixels high

How to Determine Maximum Print Size

Divide the pixel dimension of your image by the resolution required by your printer.

Example:

If your image is 2500 pixels wide and printer requires 300 PPI:

2500 ÷ 300 = 8.333 inches

100% Black vs. Rich Black

When using larger areas of black in your design, the type of black you choose makes a significant difference in the final print quality. Understanding the difference between 100% Black and Rich Black is essential for professional results.

Pro Tip:

Use Rich Black (C100 M100 Y100 K100) for large backgrounds and solid black areas
Use 100% Black (K100) for small text to keep it sharp and crisp
